Overview

One system for the everyday work of running your accounts

Awanya Accounts covers the tasks a small or growing business handles every week: selling, buying, paying, getting paid and understanding the numbers.

Each of those tasks is connected to a proper double-entry ledger in the background, so your reports reflect what actually happened without entering the same figures again in the ledger.

What you can do

  • Prepare quotations and convert accepted ones into invoices
  • Issue sales invoices and record customer payments against them
  • Enter supplier bills and record supplier payments
  • Record expenses with VAT against the right account
  • Keep track of multiple cash and bank accounts
  • Review profit & loss, balance sheet and VAT summary reports
  • Track stock by warehouse through orders, receipts and deliveries
  • Download invoices, quotations and reports as PDFs

Product tour

A clear view of your business, screen by screen

Awanya Accounts is organised the way a business works: overview, sales, purchases, inventory, accounting, reports and administration.

Dashboard

Sales, expenses and net profit to date, alongside current cash and bank, receivables and payables, all derived from the ledger. Recent invoices, customers with outstanding balances and quick actions are one click away.

  • Sales

Quotations convert into invoices. Statuses move from draft to issued, partially paid and paid, with overdue invoices flagged.

  • Purchases

Supplier bills with each line coded to an expense or asset account, and supplier payments recorded against them.

  • Inventory

Stock on hand by warehouse, with committed and available quantities and low-stock reporting.

  • Reports

Financial statements built from the ledger, for any period, each downloadable as PDF.

  • Administration

Admins manage users and roles and company settings, and review the audit log.

How it connects

Business transactions become accounting records

Awanya Accounts is more than a set of separate forms. When a transaction is finalised, the matching journal entry is created for you and your reports update from the ledger.

Sales

  1. Customer

    Customer record

  2. Sales invoice

Issued directly or from a quotation

  3. Journal entry

Receivable, revenue and output VAT posted automatically

  4. General ledger

    Account balances updated

  5. Reports

Profit & loss, balance sheet, VAT summary

Purchases

  1. Supplier

    Supplier record

  2. Supplier bill

Each line coded to an expense or asset account

  3. Journal entry

Expense, input VAT and payable posted automatically

  4. General ledger

    Account balances updated

  5. Reports

Profit & loss, balance sheet, VAT summary

Orders & stock

Purchase and sales orders drive stock movements by warehouse. These flows track quantities only and never post values to the ledger. Deliveries do not create invoices; sales invoices are issued separately.

Receiving stock

  1. Purchase order

    Approved order to a supplier

  2. Goods receipt

    Full or partial, per line

  3. Stock on hand

    Quantity added to the warehouse

Dispatching stock

  1. Sales order

    Confirmed customer order

  2. Delivery

    Full or partial, per line

  3. Stock on hand

    Quantity removed; negative stock blocked

  • Customer payments, supplier payments, expenses and cash/bank opening balances also post their journal entries automatically.
  • Drafts never touch the ledger — only issued invoices, posted bills and recorded payments and expenses do.
  • Orders, receipts, deliveries, adjustments and transfers track quantities only and do not post values to the ledger.

Accounting foundation

A configurable accounting engine

Instead of hard-coding account numbers throughout the software, Awanya Accounts works with business concepts such as sales revenue, VAT payable and accounts receivable.

Each concept is mapped to an account in the company's own chart of accounts. When a transaction is posted, the engine looks up the mapped account — so the accounting logic stays consistent while the chart of accounts remains the company's own.

ACCOUNTS_RECEIVABLE
maps to Accounts receivable
SALES_REVENUE
maps to Sales revenue
VAT_OUTPUT_PAYABLE
maps to VAT output payable
ACCOUNTS_PAYABLE
maps to Accounts payable
VAT_INPUT_RECOVERABLE
maps to VAT input recoverable
  • Balanced by design

Every journal must have equal debits and credits before it can be posted.

  • Posted once

Each invoice, bill, payment or expense creates exactly one journal entry, even if a request is repeated.

  • History preserved

Posted entries are never edited or deleted. Corrections are made with a reversing entry.

VAT & UAE businesses

VAT-aware workflows, built with UAE businesses in mind

VAT is part of the everyday transaction flow in Awanya Accounts rather than a separate calculation at the end of the period.

Illustrative preview with sample data

  • VAT on every relevant line

Invoices, supplier bills and expenses carry a VAT rate per line, including standard and zero-rated items.

  • Historic figures stay fixed

The VAT rate and amount are saved with each transaction, so later rate changes never alter past documents.

  • VAT summary for review

Output and input VAT by rate for any period, cross-checked against the VAT accounts in the ledger.

The VAT summary is a report for internal review, not a VAT return. Awanya Accounts does not prepare or submit VAT returns to the Federal Tax Authority (FTA); each business remains responsible for its own VAT filings.

Access & security

The right access for each person on your team

Several people can work in Awanya Accounts at the same time, each with a role that matches their responsibilities.

  • Permissions enforced on the server

Access rules are checked by the application itself, not just hidden in the interface.

  • Protected sign-in

Passwords are stored as one-way hashes and sessions use short-lived access tokens.

  • Company data kept separate

Each company's records are isolated from every other company using the system.

  • Audit log

Administrators can review sign-ins, failed logins, user and role changes, settings changes and record edits.

FAQ

Frequently asked questions

Straight answers about what Awanya Accounts does today.

Who is Awanya Accounts for?

Small and medium-sized businesses — trading, service and growing teams — that want sales, purchases, stock, VAT and accounting in one system rather than spread across spreadsheets and separate tools.

Does Awanya Accounts handle UAE VAT?

VAT rates such as standard-rated (5%) and zero-rated are applied line by line on invoices, supplier bills and expenses, and the rate and amount are stored with each transaction. A VAT summary report shows output and input VAT by rate for any period.

Does Awanya Accounts file VAT returns with the FTA?

No. Awanya Accounts does not prepare or submit VAT returns, and it is not certified or accredited by the Federal Tax Authority. The VAT summary report helps you review output and input VAT for a period; each business remains responsible for its own VAT filings.

Can several people use it at the same time?

Yes. Each user has a role — Admin, Accountant, Sales or Staff — and the application enforces what each role can see and do. Administrators manage users from the Users & Roles screen.

Does it manage inventory?

Awanya Accounts tracks stock quantities across multiple warehouses through purchase orders, goods receipts, sales orders, deliveries, adjustments and transfers, with stock reports. Stock is quantity-based; inventory values are not posted to the ledger.

Which currency does it use?

Cash and bank accounts default to UAE dirhams (AED), and the dashboard reports in your company currency. Multi-currency conversion is not currently available.
